Release 16.2 was jam packed with useful features such as Loan Vehicle Forms and the ability to disclose a Privacy Policy. With so much going on we’ll forgive you if you missed some of the other features available. In this month’s PlayBook we want to highlight 3 key changes that we think you’ll like – Email Conversations, Vehicle Registry and Appraisals. Email Conversations The 16.2 releases for iOS and Desktop allow users of the Sales Pipeline to capture email conversations with their customers. When this is enabled an email address is automatically added to any outgoing email. When the customer hits 'Reply' their response will be automatically captured to the lead in the Sales Pipeline. In the Desktop Sales Pipeline this is represented via an 'In' and 'Out' icon in the Messages section. In the iPad it shows this with the green and grey conversation bubbles we are all familiar with. It's also possible in the My Company screen to set up a different Email Reply template - in some cases it may be appropriate to remove the video component from your replies as you have already engaged the customer with your first email. When you view a customer's reply within the Sales Pipeline it is possible to tap on their reply to continue the conversation using the 'Reply To Conversation' button. This will ensure the entire email dialogue between salesperson and customer is all contained within the Sales Pipeline. Please note - in order to ensure our customers, have the opportunity to set up custom reply templates we will not turn on this functionality until it is requested via support@autoplay.co.nz Vehicle Registry There is now a button on the LHS menu labelled Vehicle Registry. The Vehicle Registry is a quick way to view all the Test Drives completed at the dealership. The Vehicle Registry shows the following information; ⁕ Vehicle on Test Drive/Loan ⁕ Customer Details ⁕ The Type indicates the purpose that the vehicle has been loaned out for including Test Drive, Service, Employee and Sponsorship ⁕ Start Date when vehicle left the dealership ⁕ Whether the Test Drive or Loan Vehicle has been Completed or Not Completed - applying a banner and indicating whether the vehicle is physically at the dealership. The Vehicle Registry will also show all of the Loan Car Forms completed so can be used as a quick, but comprehensive view showing where your vehicles are located. Vehicle Appraisals.
With the new Vehicle Appraisal screen users will be able to view a screen with a summary of all the Trade In Appraisals at the dealership. Unlike the Sales Pipeline Dashboard which shows the vehicle on the lead that the Appraisal was completed, the Appraisal screen shows the vehicles that have actually been Appraised. This makes it easier to see a list of trade ins and works well with our new Appraisal Manager Approval functionality. The screen defaults to show any Appraisals not yet approved by Managers, but you can change the view to see Approved Appraisals as well. There is also a filter to view only Appraisals against Open Leads or to also view Appraisals completed on leads Closed. If you have permission to view the lead clicking on the Appraisal will take you through to view the full Appraisal screen.
